Procurement

From material request to purchase order, with approvals at every step.

Material requests, requests for quotation, supplier submissions, evaluation and purchase orders, with landed costs and purchase invoices.

Procurement follows a single chain: a material request is raised, turned into a request for quotation, suppliers submit their offers through a link, offers are compared in a quotation evaluation, and the winning offer becomes a purchase order. Every step can require approval, and every step keeps its history.

Suppliers do not need a Portal account. An RFQ submission link lets them fill in prices, lead times and attachments from their browser, and the submission appears in the evaluation as soon as it is sent.

What you get

Procurement in detail

Material requests

Departments request what they need with quantities, dates and justifications. Requests are approved before anyone contacts a supplier.

RFQ and supplier submissions

Send an RFQ to several suppliers at once. Each one submits through a public link, with no login required.

Quotation evaluation

Compare submissions line by line, pick a winner per line or per supplier, and document why.

Purchase orders and receipts

Purchase orders with multi-stage approvals, goods receipts against them, and purchase invoices matched to what was received.

Landed cost estimates

Estimate freight and duties on the order, confirm the real costs on receipt, and see the effect on item cost immediately.

Purchase pricing

Purchase price lists and supplier agreements feed default prices into orders and flag deviations.

FAQ

Common questions about Procurement

Do suppliers need an account?

No. Suppliers receive a link to the RFQ and submit their quotation from a browser. Their submission is stored with the RFQ and shown in the evaluation.

Can approvals depend on the amount?

Yes. Approval flows support multiple stages, and stages can be conditional on the document amount, so a small order needs one approver and a large one needs three.

How are purchase invoices matched?

Purchase invoices are created from purchase orders and receipts, compared against received quantities and agreed prices, and confirmed into the AP register.
